What can I do in the Online Safety Audit section of the compliance portal?

The Online Safety Audit lets you audit your office or facility to make sure it is in full OSHA compliance. Over 75 different audits are available. After completing an audit, you can create a full graphical report, complete with comments, photos, and a corrective action plan.

How do I begin an inspection?

To begin an inspection, click Create a New Inspection. You can then name the inspection and choose which type of audit to perform from a drop down menu. Then click Start New Inspection to launch the inspection report.

Each inspection contains a number of surveys, each with their own questions. To begin, select a survey (located on the left side of the page). After you complete one survey, you can choose another one.

Your inspection will be listed under both the "Inspections" and "Reports" tabs.

How do I continue an inspection I've already started but not yet completed?

To complete an inspection already in progress, click the inspection name (located under the "Inspections" tab). The inspection will re-open to the last place that was saved, and can then be completed.

How do I make changes to an inspection I've already started but not yet completed?

To change an inspection already in progress, click the inspection name (located under the "Inspections" tab). The inspection will re-open to the last place that was saved. Select the survey you wish to make changes to, and then go through each question in the survey (clicking Save and Proceed), making any necessary changes.

What are my response options for each survey question?

For each question, you can respond with In Compliance, Not Compliant, N/A, or Skip.

If you select In Compliance or Not Compliant, you can also add a response, photos, opportunities, and corrective actions to that question.

After selecting the appropriate option (and adding a response, if applicable), click Save and Proceed to continue to the next question.

How do I add a response to a survey question?

Type your response into the text box located under the question. Click add >> to add this text as your response; the text will move to the box on the right.

To remove the text, click on any line and then click << remove; the text will move back to the left.

After adding your response, you can also add information to the "Photo," "Opportunity," or "Corrective Action" tabs; or click Save & Proceed to move on to the next question.

How do I add photos to a survey question?

To add photos as a response to a question, click on the "Photos" tab and then either upload or take a photo.

To upload a photo: Click Upload Photo, and in the box that opens, click Choose File. Then find and select a photo from your computer. The selected file name will now appear next to the Choose File button. Click Import to add the photo to your response. When you have finished uploading all photos, click Close.

To add a photo: If your computer is connected to a camera, click Take Photo.

Can I see more information about a particular question?

Under each question is a View Regulation Text option. Click this to see which regulation the question comes from. When finished viewing the regulation, click Done to close the box, or select Hide Regulation Text (located above the regulation).

How do I generate a report?

The "Reports" tab (under "Audits") will list any inspection you have started. Click any inspection to generate a report on the observations found.

The report will include a pie chart of all the observations and whether they were in compliance. All the non-compliant observations will be listed, along with any regulation associated with them.

After a report has been generated, you can download, email, and/or print it. Each of these functions can be found in the upper left corner above the report.

You can close the report at any time using the option in the upper right corner above the report. You can make changes to the report by editing the inspection.

If I discover a safety deficiency, how do I assign a corrective action to it?

To add a corrective action to an observation, click on the "Corrective Action" tab. You can then assign someone to take action to correct the observation or to create an action plan.

Decide who you will assign this task to, and enter that person's name and email address, along with your name, your email address, your contact information and the due date for this assignment. If you have an action plan to correct the non-compliant observation, you may also add this as well. The box at the bottom of the action plan must be checked for the assignment to be emailed.

How can I see and/or edit the corrective actions that have been assigned for each report?

Under the "Audits" tab, click the "Corrective Actions" tab to see all the non-compliant observations for each report listed on the left, and all the corrective actions that have been assigned, with their due date, listed on the right.

View all the information about any of the assigned actions by clicking More Corrective Action Info..., located next to each assignment. Here you can also change the assignment (be sure to click Save after making any changes).

Assignments can be marked complete using the Mark Complete box next to the non-compliant observation. You can then change the observation to "In Compliance" using the drop down box that will appear. Click Save to keep your changes. (You will need to refresh the page to see this item removed from the list of non-compliant observations.)
